Payroll Frequently Asked Questions (FAQ)

When will I be paid?

  • Pay Frequency: Twice per month on the 15th and 30th.
  • Weekend/Holiday Rule: If a payday falls on a weekend or holiday, payroll is processed on the preceding workday.
  • Payment Split: Annual salaries are divided into 24 equal payments.

Contract Pay Schedules:

  • 180 to 220 Days: First paycheck on August 15, 2026. Last paycheck on July 30, 2027.
  • 240 to 245 Days: First paycheck on July 15, 2026. Last paycheck on June 30, 2027.

SICK LEAVE INFORMATION

How many sick days will I receive?

Sick leave is earned based on your total contract days per year. Employees hired mid-year receive prorated leave. Sick leave is accrued every pay period on the 15th and 30th of the month. Unused sick leave rolls over annually up to a maximum cap of 90 days.

  • 180 to 190 Contract Days: 12 Days earned
  • 200 to 220 Contract Days: 13 Days earned
  • 240 to 245 Contract Days: 15 Days earned

Can sick leave be used as personal leave?

Yes. Hampton County School District does not issue standalone personal leave days. All approved personal leave is deducted directly from your sick leave balance and requires prior supervisor approval.

Can I transfer sick leave from another district or state agency?

Yes. You can transfer up to 90 days of unused sick leave from another South Carolina school district or state agency. Your previous employer must submit an official verification of your leave balance on official district or company letterhead.

DIRECT DEPOSIT INFORMATION

Will my first paycheck be directly deposited?

No. When you set up or alter your direct deposit, the Payroll Department sends a "pre-notification" test to verify your bank account details. You will receive a paper check during this brief verification period. Direct deposit will activate automatically for subsequent pay cycles once verified.

CERTIFICATE, DEGREE, AND EXPERIENCE UPDATES

How do I update my years of experience?

Your previous employer must complete a "Verification of Teaching Experience" form and submit it directly to the South Carolina Department of Education.

How do I update my degree status?

You must submit a "Request for Change/Action" form to the South Carolina Department of Education. Once your state certificate officially updates, notify Human Resources so they can adjust your salary.

TAX WITHHOLDING CHANGES

How do I change my tax withholdings?

You can update your federal and state tax withholding configurations at any point during the year. This can be done digitally through Employee Access or by routing an updated paper W-4 form to the Payroll Department.

SUPPLEMENTAL AND EXTRA DUTY PAY

How do I get paid for extra work or supplemental duties?

To receive payment for duties performed outside of your primary role, you must complete and submit a "Universal Timesheet." ALL WORK PAID VIA A TIMESHEET MUST BE PERFORMED WITHIN THE DISTRICT AND/OR SCHOOL LOCATION(S). WORK PERFORMED OUTSIDE OF THE DISTRICT AND/OR SCHOOL LOCATION(S) MUST BE SUBMITTED VIA A SUPPLEMENTAL PAY FORM.

Please remember:

  • All extra work requires explicit approval before the tasks are performed.
  • All necessary signatures and administrative approvals must be fully finalized before payment is processed.
  • Supplemental earnings are paid alongside your standard salary on the 15th or 30th payroll schedule.

PRORATED SALARY

What is a prorated salary and why would I have one?

A prorated salary adjusts your total pay to match only the portion of the work year you actually complete. Your daily rate stays exactly the same; you are simply paid for fewer days. This occurs if you:

  • Start after the school year begins or resign before your contract ends.
  • Transition between part-time and full-time status.
  • Work fewer contract days than a standard full-year employee.

How is prorated pay calculated?

The district calculates your exact daily rate, then multiplies it by your active days:

The total $30,947.37 is then equally divided into the remaining pay periods of the school year.

Expectations for Mid-Year Hires:

  • Paycheck Size: Even when prorated, your remaining salary is spread equally across the school year's remaining pay periods. Your very first check may be smaller as it only counts the specific days worked in that initial pay cycle.
  • Benefits & Deductions: Tax, retirement, and health insurance deductions begin immediately. Note that insurance premiums typically remain at flat rates regardless of prorating, while retirement contributions scale with your actual earnings.
